Recording the Unavailable Message

  • Dial 77 + the agent's extension number.
  • Enter the voicemail PIN when prompted.
  • Press 0 for the Administration Menu.
  • Press 1 to record the Unavailable Message.
  • Record the message, then press # when finished. Do not hang up - hanging up discards the recording.
  • Press 1 to save.

A clear greeting identifies the agent and tells the caller what to do next. For example: "You have reached Jane Smith. Please leave a message after the tone and I will return your call as soon as I am available." Record using the VoIP handset for the clearest audio.

Agents can also record a name greeting and, where your brokerage uses them, greetings for specific extensions or on-hold messages. Mark these optional during onboarding so the required steps get done first.

Upload and Test

If your system supports audio file uploads, agents can record greetings separately and upload them for better audio quality. Once everything is configured, test the full flow: call the extension from another phone, confirm the greeting plays correctly, leave a message, and verify the transcript arrives.

Step 4 - Build the Agent's Call Flow

Create the Call Flow

  • Go to the Call Flows page and click Add Call Flow.
  • Enter a name and a short description, then click Add.
  • Click the blue (+) button on the title bar to add the first command.
  • Choose Ring Extension, select the agent's extension, and set the ring duration to at least 15 seconds.
  • Click Done.

Add the Voicemail Fallback

  • Click the blue (+) on the Ring Extension line to add the next command.
  • Select Transfer to Voicemail and choose the agent's voicemail box.

Point the Number to the Call Flow

  • Go to the Numbers page and select the number you want to assign.
  • Click the Routing tab.
  • From the routing dropdown, choose Call Flow, then select the call flow you just created.

At this point the agent's number is live. Every call rings the extension; if the agent is unavailable, the call falls to voicemail and a transcript arrives by email within 30 seconds.

Step 5 - Teach Agents How to Transfer Calls

Call transfers are where new agents stumble most visibly in front of clients.
